Decide how you bill before comparing products
A per-visit invoice, fixed monthly charge and monthly statement of separate invoices are different workflows. Software supporting one does not necessarily support the others in the way customers expect.
This is a documentation-based guide, not a hands-on product ranking. Vendor capabilities come from official help pages; trial tasks and calculations are illustrative. For the wider product shortlist, see our cleaning business software comparison.
Separate four functions that are often confused
| Function | What it does | What it does not establish |
|---|---|---|
| Invoice creation | Produces a bill for work | That the customer received it |
| Automatic sending | Sends eligible invoices under configured rules | That several visits become one invoice |
| Payment reminder | Asks for an outstanding amount | That payment succeeded |
| Automatic collection | Attempts to charge an authorized saved method | That every attempt succeeds or settles immediately |
Ask the vendor to demonstrate the exact function you need. “Automated billing” is too broad.
VISIT-BASED OR PERIODIC BILLING
Jobber
Jobber documents recurring jobs priced per visit or at a fixed amount per billing period. Its invoice guidance describes reminders at different points, including after a visit or at month end, and automatic payments through Jobber Payments. Confirm subscription, payment eligibility and setup requirements.
Trial task: Complete two visits, invoice the correct work and inspect what remains uninvoiced. Check whether the chosen automation creates, sends, collects or merely reminds you about the invoice.
APPOINTMENT INVOICING AND MANUAL MONTHLY CONSOLIDATION
ZenMaid
ZenMaid documents creating and sending an appointment invoice and printing it to PDF. Its monthly-invoicing guide says a single invoice for multiple appointments is not directly supported and describes manual alternatives, including payroll considerations for percentage-based cleaner pay.
Trial task: Ask for the current recommended monthly-billing method and verify that visit records, customer balances and cleaner compensation remain correct.
AUTOMATIC SENDING VERSUS BATCH INVOICING
Housecall Pro
Housecall Pro says Auto Invoicing can be configured from the customer profile or job, applies to unpaid invoices on the profile and begins for finished jobs with an amount due. Its documentation distinguishes individual invoices sent together from the separate Batch Invoicing feature.
Trial task: Create two eligible jobs for one test customer and inspect exactly what they receive—separate invoices sent together or a combined billing workflow.
These are investigation candidates, not equivalent feature bundles or evidence that every capability is in the lowest-priced plan. Compare Jobber and ZenMaid in more detail.
A worked invoice example
Suppose a customer has three completed cleans at $120 each and an approved $40 oven-cleaning extra:
3 × $120 + $40 = $400
If a $100 advance is allocated to this work, the remaining balance is $300. The invoice or account view should show that allocation clearly without recording the advance again.
If a fourth appointment was cancelled under a completed-visit agreement with no applicable cancellation charge, it should not add another $120. This excludes taxes and fees and is not an invoice-compliance template.
What a customer should understand
Check the invoice on a phone and computer. Can the customer identify your business, service property, work dates, descriptions, amount due and payment instructions? Commercial clients may require purchase-order references, location IDs or a named billing contact.
Use descriptions that distinguish standard visits from extras. Test the layout with longer descriptions and multiple service dates.
Payment fees: compare effective cost
Ask about percentage fees, fixed transaction charges, refunds, disputes and payout timing. The table below is fictional arithmetic—not a quote from Jobber, ZenMaid, Housecall Pro or any processor.
| Assumed processor rate | $5,000 collected in 50 payments | Calculated fee |
|---|---|---|
| 2.9% plus $0.30 per payment | $145 + $15 | $160 |
| 3.2% with no fixed fee | $160 + $0 | $160 |
With 100 payments totaling the same $5,000, the first example becomes $175 while the second remains $160. Transaction count matters. Add subscriptions separately and apply processing fees only to money collected through that processor.

Test corrections before enabling automation
Use fictional customers and supported test or sandbox payment methods. Do not run real charges merely to test a workflow.
- Create an invoice and send it to an address you control.
- Record a partial payment and confirm the balance.
- Inspect the supported correction process for a wrong line item.
- Review how an approved refund or credit appears.
- Test communication for an unpaid or failed payment.
- Export records and check whether another person can understand them.
Keep the original charge and correction. Verify how changes flow to accounting tools and whether duplicates are possible. Before automatic collection, confirm customer authorization, timing and how future charges are stopped.
Match the trial to your business
| Business pattern | Priority question |
|---|---|
| Solo cleaner paid after each visit | Can you prepare and send the right invoice from your phone? |
| Recurring residential customers | Does collection timing match the customer agreement? |
| Office cleaning with monthly billing | Can you preserve visit detail while delivering the required monthly bill? |
| Several properties under one customer | Can billing contacts and service locations remain distinct? |
| Team paid a percentage of revenue | Do adjustments affect compensation records correctly? |
Start with your two most common billing scenarios and the correction that currently causes the most trouble. Link it with the repeat-visit tests in our cleaning scheduling guide.
Frequently asked questions
Is an invoice reminder the same as recurring billing?
No. It may prompt you to create a bill or prompt a customer to pay. Verify exactly what is automated.
Can I send one invoice for all monthly visits?
Possibly, but methods differ. Request a demonstration and inspect the result, especially when cleaner pay or reporting depends on visit amounts.
Does invoicing software replace bookkeeping?
Not necessarily. Confirm how invoices, payments, refunds and fees reach accounting records.
Which is the cheapest option?
This guide does not establish one. Compare the current subscription, required team access, message usage and actual payment volume.
